Publishing

Deciding who can see and take your course — everyone, specific people, or no one.

What does publishing mean?

Publishing decides who can access your course:

  • Draft (unpublished): Only you and other collaborators can see it. No one else. Use this while you're still building.
  • Published to everyone: All members of your organization can find it in the course catalog and join.
  • Published to specific people: Only people you invite can see it and join. Everyone else can't find it.

Where to publish

The Publishing tab is in the course editor. Click it to see the current publication status and make changes.

Publishing to everyone

For a public course that all members can find:

  1. 1Go to the Publishing tab in the course editor
  2. 2Click Publish to Everyone
  3. 3Confirm that the course is ready (title, description, content, questions)
  4. 4Click Publish
  5. 5The course now appears in the catalog for all members to discover and join

Once published, the course's content is locked for a moment (to prevent changes during enrollment), then you can edit it again immediately.

Publishing to specific people

For courses meant only for certain people (e.g., a cohort, a department, or invited users):

  1. 1Go to the Publishing tab
  2. 2Click Publish to Specific People
  3. 3Enter email addresses or search for people by name
  4. 4Select everyone who should have access
  5. 5Click Publish
  6. 6Only the people you selected can see and join this course. Everyone else can't find it in the catalog.

You can always add or remove people later. The list is editable anytime.

Sharing the course link

Whether published to everyone or to specific people, you can share a direct link to the course:

  • In the Publishing tab, copy the course link
  • Share it via email, Slack, or any communication tool
  • Anyone with the link can find the course and join (if they have permission)
Direct links bypass the catalog
Even if someone doesn't have access to your catalog, they can join if you give them the direct link — as long as they're invited to the course.

Keeping a course as a draft

If you're still building the course and aren't ready to publish:

  • Leave the Publishing tab as Draft
  • Only you and other collaborators can see it
  • Edit everything you need without anyone accessing it
  • When ready, publish using the steps above

Unpublishing a course

If a published course needs to be hidden:

  • Go to the Publishing tab
  • Click Unpublish
  • The course disappears from the catalog immediately
  • Members who already took it can still view their completion records, but new members can't join
Unpublishing doesn't delete the course
Unpublished courses are hidden, not deleted. You can re-publish them anytime.

Course visibility and prerequisites

You can make a course visible only to members who've completed a prerequisite course:

  • In the Publishing tab, click Add Prerequisites
  • Select which course(s) members must complete first
  • Members who haven't completed the prerequisite can't join

This is useful for course sequences (e.g., Beginner course → Intermediate → Advanced).

Course start and end dates

Optionally set availability windows:

  • Start date: The course becomes available on this date. Before then, it's hidden.
  • End date: Members can no longer join after this date, but they can still complete courses they already started.

Use this for cohort-based courses or seasonal content.

Updating published courses

You can edit a published course anytime:

  • Changes take effect immediately for new learners
  • Members already enrolled see the updated content on their next visit
  • Their progress and scores are unaffected
Be careful with major edits
If you significantly change a course (e.g., delete modules or questions), members might be confused or lose progress. It's safer to make updates between cohorts, or create a new version of the course.

Course visibility in the catalog

Published courses appear in the catalog sorted by:

  • Most popular (most members enrolled)
  • Newest (recently published)
  • By category or tags you set

Make sure your course title, description, and thumbnail are clear so members can find and understand it.

Publishing workflow summary

Typical workflow for publishing a course:

  • 1. Create course content (modules, videos, questions) while in Draft mode
  • 2. Test the course yourself to make sure it works
  • 3. Set pass mark and grading rules in the Grading tab
  • 4. Go to Publishing tab and choose who can see it
  • 5. Publish
  • 6. Members can now find and join

Getting feedback on a course

Before publishing to everyone, you might want feedback from a small group:

  • Publish to specific people (your team, some test users)
  • Let them take the course and give feedback
  • Make improvements
  • Then publish to everyone
