Invite Team Members
How to invite people to your organization, assign roles, and manage pending invites.
Who can invite people?
Only admins and instructors can invite others. Members can't send invites. When you open the Invite Team Members page, you see a form to add new people.
The three roles
When you invite someone, you choose their role:
- Member (learner): Can browse and join courses, take assessments, earn certificates. Can't create or manage courses.
- Instructor: Can do everything a member does, plus create and edit courses, grade free text answers, and invite other team members.
- Admin: Can do everything an instructor does, plus manage all team members, see organization reporting, and configure settings.

Inviting one person at a time
- 1Go to Manage → Invite Team Members
- 2Click Invite Person
- 3Enter their email address
- 4Choose their role (Member, Instructor, or Admin)
- 5Click Send Invite
- 6An email is sent to them with an activation link. They click it to set their password and join.
Inviting multiple people (CSV bulk import)
If you're inviting many people, use a CSV file:
- 1Go to Manage → Invite Team Members
- 2Click Bulk Invite
- 3Download the CSV template
- 4Fill in the spreadsheet with email addresses and roles
- 5Upload the file
- 6Review the preview and confirm
- 7All invites are sent at once
The CSV template looks like this:

Pending invites
When you send an invite, it's "pending" until the person activates it. Pending invites appear in a separate list on the Invite page. You can:
- View pending invites and when they were sent
- Resend an invite if needed (if they didn't receive the email)
- Revoke an invite (delete it so the person can't activate it anymore)
Invite link validity
Invite links are valid for 30 days. If the link expires and you want to invite them again, send a new invite. Revoking an old invite removes the expired link.
Changing someone's role after they join
If someone joins with one role and you want to change it, go to People & Roles instead. You can edit anyone's role directly without sending another invite.
Name and full information
When inviting, you only need their email. They fill in their name and profile when they activate the account. You can always edit their details later in People & Roles.
Custom welcome message
When sending bulk invites via CSV, you can optionally include a message that appears in the invite email. Use this to explain the course, set expectations, or welcome them to your organization.
Inviting instructors to co-author courses
Inviting someone as an instructor gives them access to create and edit courses. You can also invite specific instructors to co-author individual courses without giving them admin rights to the whole organization. See Course Editor for collaboration details.
Adding yourself and others manually
If you're the first person setting up the organization, you're added automatically as an admin. If you need to set up someone else as admin manually (e.g., to add a co-founder), contact support.
Invites and data privacy
When you send an invite, the recipient receives an email with a unique link. Only they can use it. Don't share invite links — each link is meant for one person only.
